Individual thesis steering committee (CSI)
The monitoring committee must take place between 1 June 2025 and 30 September 2025 (31 October only for doctoral students enrolled after 1 January 2025).
The specific role of the tutor
Your tutor is chosen by the CPO and the doctoral school mangement.
You will receive an e-mail from the secretariat giving you the name of your tutot as soon as he or she accepted the assignment. His role is to:
- Meet the doctoral student during the first year of the thesis. This meeting is informal: it is a first contact. It is initiated by the tutor.
- Participate in the meetings of the follow-up committee. This committee meets on the doctoral student's initiative but it is the tutor who coordinates the discussions*
- Advise and assist the doctoral student in case of difficulties. The doctoral student should not hesitate to contact his/her tutor. In case of conflict, it is advised to contact the school management to find a solution.
*The tutor will serve as the committee coordinator and must:
1/ be affiliated to the School (with some exceptions)
2/ belong to another laboratory or UMR than the one of the doctoral student and the members of the management team in order to bring a different perspective and encourage exchanges within the ED.
The tutor must be free of any personal and scientific conflict of interest in order to play his/her monitoring role in complete independence.

The role of the Monitoring committee - CSI
The role of the monitoring committee is to provide an outside perspective on the progress of the thesis in order to discuss, advise and guide the doctoral student's work.
It is also the committee's role to alert the management team or the ED if any problems arise.
The committee meets between 1 June and 30 September before each re-registration (end of D1, end of D2, end of D3, etc.).
Composition of the monitoring commitee
The individual thesis steering committee includes
- the tutor proposed by the CPO
- a member from outside the PhD student's laboratory and the thesis project
- a member from outside your registration institution (the laboratory is not affiliated to the registration institution)
_ an other member (possibility internal to the laboratory but not to the team)
Please note that:

_ no member may be from the same team (it is possible to be from the same laboratory)
_ it is recommended that no two members should be from the same laboratory or entity
_ if you wish an IGR to sit on your jury, please replace the HDR date with the thesis defence date. Without a thesis, this person cannot be a member of your ISC.
NB: the director and co-director must attend ISC meetings. Co-supervisors are not obliged to attend.
Organisation of monitoring commitee meetings
Before the CSI (at least 2 weeks before the meeting)
- For D1s and those wishing to change their composition, this must be validated by the management: send the document to e2m2.codir@listes.univ-lyon1.fr before 23 May 2025.
- He writes a report of no more than 5 pages detailing the methods used, the results obteines and the conclusions drawn (help with writing the report is provided in the box).
- He completes the skills assessment (except for doctoral students enrolled form 2023/2024 onwards, for whom this document will be completed automatically on ADUM)
- He downloads the report from and completes the 'doctoral student and articles" sections
- He downloads the report of validates training courses on ADUM (CTRL + P)
- He sends all these documents to the supervisor and commitee members
The tutor brings this file and the report to the meeting.
During the meeting
- Oral presentation by the doctoral student of a slideshow on their academic background, the rationale behind their research project, the strategies adopted, the main results obtained and their value, the supervision arrangements, the thesis schedule, the training courses taken, any mobility, the skills assessment, and preparations for after the thesis (from D2 onwards). A reasonable length for the presentation is 20 to 30 minutes.
- Questions from the committee, discussion.
- Dialogue between the committee and the doctoral student, without the thesis supervisor(s) and co-supervisors.
- Dialogue between the committee and the thesis supervisor(s), without the doctoral student.
- Summary and draft report.
After the meeting
- The supervisor writes the report based on the information gathered, the CSI members sign it, and the report is returned to the doctoral student and their thesis supervisor.
- The doctoral student requests re-enrolment on ADUM and uploads to ADUM, in this order, the CSI report, the ADUM training summary sheet and the activity report (in the same PDF file) and requests re-enrolment.
- The doctoral student completes the confidential appendix and sends it by email (in PDF format) to secretariat.e2m2@univ-lyon1.fr before 30 September 2025. This will trigger the processing of the CSI report.
- After validation by the CSI, the academic enrolment will be validated on ADUM.
For D1 students: if the doctoral student started his/her thesis between September 2024 and December 2024, the CSI must be done before September 30, 2025
If the doctoral student started his/her thesis after January 1, 2024, the ISC must be done before October 31, 2025.
CSI at 6 months
After your hearing, the CPO asked you to do an CSI at 6 months. You must therefore complete the composition of the CSI and the CSI CR at 6 months after your hearing and redo the CSI CR before 31 October.
