For oral examinations in 2024
_ if your defence takes place before the end of September 2024, your registration for this year is sufficient
_ if your defence takes place before the end of December 2024, you must register (at no cost to the UCBL)
_ if your defence is in 2025, you must register and pay the registration fee

Administrative file

The constitution of the administrative file of presentation must be anticipated (delays can reach 12 weeks, even 16 weeks in summer period).

STEP 1: Send the following documents to e2m2.codir@listes.univ-lyon1.fr
  • The full text of the articles (PDF) published, accepted for publication or submitted for publication (version generated on the submission site in the latter case) / the submission or acceptance emails from the journal if applicable (no screenshots of the journal's website)
  • The certificates of the training courses followed during the thesis indicating the number of hours of training. If the number of hours does not appear on the certificate, also attach the training program mentioning the number of hours AND the training report generated via SIGED
  • The summary sent for Décryp'thèse with the year (only for doctoral students registered from 2022/2023 in D1)
  • The form for "external" members of the jury (rapporteurs and examiners) with the declaration of interests AND the CV of the rapporteurs
  • The completed skills assessment
The management will validate or not your file and will confirm the number of reporters you need. Be careful, your jury is not yet validated, it will be via the registration institutions.

REMINDER: if you do not have any publication as 1st author, it will be necessary to have a 3rd reporter:
  • Of foreign nationality
  • Attached to an academic institution abroad
  • With a curriculum at least equivalent to that of a researcher or a teacher-researcher holding the HDR in France, i.e. having supervised one or more theses and published with his or her supervisors.
STEP 2: CONTACT YOUR ENROLLING INSTITUTION

Instructions are available on the website of your registration institution:
The final proposal (not the excel table) of the rapporteurs and jury members validated by the registration institution will be returned to you by your administrator. This proposal must be signed in the order of transmission by the thesis director and then the director of the doctoral school (e2m2@listes.univ-lyon1.fr) before being sent back to the administration of your home institution.

Please note: juries cannot be "pre-validated" provisionally by email or informally: only the composition in the official file will be validated.

Authorization to present

The rapporteurs submit their report to the registration institution (Lyon 1, INSA Lyon or ENS Lyon) and these reports are transmitted to the school and read by the Director of the school who proposes to the President / Director of the University / INSA / ENS to authorize or not the defense.

Jury

Composition

The new rules for the PhD are published in the decree of May 26, 2016. It is at the origin of the institutions' directives: check the rules of the defense jury with your registration institution: Lyon1, INSA or ENSL.
The number of jury members is between 4 and 8.
At least half of the jury members must be French or foreign personalities, external to the doctoral school and to the doctoral student's institution of registration.
The distribution of women and men must be balanced (see the institution's rules)
At least half of the jury must be made up of professors or equivalent.
Some institutions (e.g. Lyon1) require the presence of a teacher-researcher with HDR from the institution.

The thesis director participates in the jury, but does not take part in the decision.
NB: He/she is counted as a member of the jury, and is therefore taken into account in the ratios (e.g.: internal vs. external members).
The members of the jury designate a president among them; he/she must be a professor or a teacher of equivalent rank.

Rapporteurs
The jury includes at least two rapporteurs who are qualified to direct research (HDR) or who belong to one of the categories mentioned in article 11 of the decree.
At E2M2, if the doctoral student has not published an article as first author on the thesis, a third reporter is required.
This person must be of foreign nationality and attached to an institution abroad.
This foreign reporter must have a curriculum at least equivalent to that of a researcher or teacher-researcher HDR in France, that is to say having supervised one or more theses, and published with his or her PhD students.

Recommandations

The rapporteurs are involved in the balance of the jury.
They are, except in exceptional cases, always members of the jury.
They cannot be from the University of Lyon 1, nor members of the E2M2 doctoral school. They must not have participated directly in the thesis work nor have been co-authors with the doctoral student (but they may be aware of this work, for example having been a "referee" for an article, but without having pushed the cooperation beyond that).
As far as possible, rapporteurs should not be members of the same unit.
Some members of the doctoral student's follow-up committee may be invited to participate in the jury as reviewer(s); however, they may not be invited as rapporteurs.
Examiners may have been members of the doctoral student's follow-up committee. However, conflicts of interest must be avoided, such as choosing colleagues who are too closely related to the doctoral student or the thesis directors.
It is advisable to choose a jury of more than 4 members to anticipate any problem of withdrawal.
The selection of a jury member for non-scientific reasons should be avoided.

 

Language and Format

Thesis in French or other language?

The natural language of the thesis is French because it is a national degree.
However, it is possible for any doctoral student to write and defend his thesis in another language than French (see conditions of the defense institution).
This must be justified, for example
- By the need for all members of the jury to understand the text and then to intervene in the debates.
- By the need to disseminate information outside of France.
- By the fact that doctoral students who have not completed their studies in French are better able to express themselves in writing in another language.
A substantial summary in French must however be added (about 5 to 10 pages).

Form of the thesis: classic or on articles

The form of the thesis is free: classic, on articles, mixed. The decision is made in agreement with the director.
Be careful to "link" the articles, to place them in a general problematic and to integrate a discussion-synthesis (don't forget also the technical appendices, very often excluded from the articles themselves).

Constraints of diffusion/publication of the work

The thesis cannot be validly defended without making the results available to the scientific community (posters and conferences) and without judging the work by peers (publications).
Due to the specificity of certain research conducted in the ED, it is difficult to set a number of published articles prior to the defense.
If some teams can ensure a number of publications close to 2 or 3 articles per thesis, this figure is impossible to reach when the data are obtained over long periods.
At E2M2, it is required:
At least one first author article, accepted or published, in an international peer-reviewed journal. Patents are also taken into consideration.

NB:
An unpublished thesis will have to be submitted to the mandatory reading of 3 referees, including at least one foreign referee (=of foreign nationality AND from a foreign institution).
This foreign reporter must have a curriculum at least equivalent to that of a researcher or teacher-researcher HDR in France, that is to say to have sufficiently published, and supervised one or several theses.

Place of presentation

  • The presentation is public, except in exceptional cases when the subject of the thesis or the work is confidential. The natural place for the defense is that of the institution to which the student belongs: the Claude Bernard University in all its components, the INSA Lyon, the ENS Lyon.
  • In practice, the place of presentation may be a site of the University of Lyon (UDL)
  • It is not possible to hold the presentation in a distant location from the UDL.
Room reservation
You have to reserve an amphitheater yourself.
Be careful, you have to book well in advance, especially for the December and June presentation!

Videoconference
Exceptionally, and with the exception of the president of the jury, the members of the jury can participate in the defense by videoconference (see the provisions of each establishment).
